Agent Productivity Case Study: One Week, Five Open Deals (An Illustrative Example)

The short answer: an agent with five open deals does not run out of hours. The agent runs out of attention at the wrong moment. This illustrative week shows how deadlines built from the contract move the day's first task to the file whose clock is closest to zero.

This is an invented example for teaching. It is not a customer result and it contains no measured time savings. RealTour Flow is in beta.

The setup: one agent, five open files

Meet an example agent named Maya. She works alone in Alabama. She has five active files and a normal week. One inspection window closes, one appraisal is due, one buyer is waiting on underwriting, and one listing is going live. Most agents recognize this week. Our guide to real estate agent time management explains why the contract clock outranks the calendar.

Monday through Friday: what the agent sees first

DayWhat the inbox shows firstWhat the contract clock shows first
MondayA new lead texts about a showingInspection response due Wednesday on file B
TuesdayThe lender asks for a pay stubAppraisal ordered, gap rider date Friday on file D
WednesdayA client asks for an updateInspection window closes on file B at 5 pm
ThursdayA listing photo shoot runs longCondo questionnaire still missing on file E
FridayThree emails marked urgentFinancing date on file C is Monday

The inbox sorts by who spoke last. The contract sorts by who runs out of time first. Those are different orders on four of the five days. That gap is where deals slip.

Three mechanisms that change the week

  1. Dates come from the contract. Maya enters the effective date and the dates written in each contract once. Auto-calculated tasks and deadlines build from there, so no date lives only in her memory.
  2. Dates move together. When a seller counter moves the inspection date, every later date moves with it. She does not re-enter the file.
  3. Lender status sits next to the financing date. Live loan milestones show the stage of the loan against the deadline, so a stalled file shows up days early.

All five files sit in one deal pipeline, sorted by the next date that matters. Maya starts each morning at the top of that list.

What this does not fix

It does not make the lender faster, make a client reply, or pick which lead to chase. The agent still decides. The change is that every decision starts from the right list. Our post on how agents manage multiple deals covers the four risk windows in a deal and why most files are inert most days.

Alabama and Florida notes

Alabama: the standard AAR contract defaults to a 14-day inspection period and a 3-calendar-day seller response. Your contract controls, so enter your own dates. Florida: AS-IS inspection language and an appraisal gap rider change which date matters, and condo files add a questionnaire that should start on day one. Read more about contingency deadlines and what one missed date can cost.

Financing is the date agents lose most often. A lender who shares loan status helps. Mountain Mortgage is licensed in Alabama and Florida. Using it is never required, and RealTour Flow works with any lender.

Run your own one-week test

  1. List every open file and write down the next contract date on each.
  2. Each morning, start with the file whose date is closest.
  3. Each evening, write down any date you almost missed.
  4. After five days, count the near misses. That count is your baseline.

If the count is zero, your system works. If it is not, the dates are the problem and not your effort.

Frequently asked questions

Is this a real customer story?

No. It is an illustrative example. RealTour Flow is in beta and does not publish customer results yet.

How many deals can one agent handle?

It depends on the agent and the stage of each file. Most files are quiet most days, so the number of files matters less than how many are inside a risk window at once.

What should a solo agent track first?

Contract dates. Inspection, financing and closing dates come before every other task.

Does this replace a transaction coordinator?

No. It gives you and a coordinator the same list to work from.
